Office & Operations Manager

Position Overview

The Office & Operations Manager is responsible for delivering exceptional customer service while ensuring the day-to-day administrative operations of KIIH run efficiently and professionally. This role serves as the organizational hub of the company by supporting athletes, families, coaches, and leadership while helping grow programs and strengthen the KIIH community.

Key Responsibilities (but not limited to)


Customer Experience: Be the first impression of KIIH by delivering outstanding customer service to every athlete and family.

Responsibilities include:

  • Answering phone calls, emails, and text messages promptly.
  • Assisting families with registrations and program selection.
  • Following up on new inquiries and prospective clients.
  • Maintaining positive relationships with current families.
  • Resolving concerns professionally and efficiently.
  • Creating a welcoming and organized experience for every customer.


Administrative Operations

Ensure the organization operates efficiently through strong administrative systems and organization.

Responsibilities include:

  • Manage registrations, payments, and participant records.
  • Maintain WellnessLiving and other business software.
  • Organize office files and digital records.
  • Coordinate scheduling for programs, private lessons, camps, and clinics.
  • Support payroll preparation, bookkeeping, and reporting.
  • Order office supplies and maintain inventory. 



Program Support & Growth

Support the continued growth and success of KIIH programs.

Responsibilities include:

  • Assist with enrollment and retention initiatives.
  • Coordinate communications for camps, clinics, and seasonal programs.
  • Support tournaments and special events.
  • Help families understand the best program pathway for their athlete.
  • Identify opportunities to improve the customer experience and increase participation.


Marketing & Communication

Support communication efforts that strengthen relationships with athletes and families.

Responsibilities include:

  • Update website announcements.
  • Assist with social media posts.
  • Coordinate email newsletters and program communications.
  • Promote camps, clinics, and special events.
  • Support community outreach initiatives.


General Office Duties

  • Maintain a clean and organized office environment 
  • Order supplies and manage inventory 
  • Prepare reports and assist with light bookkeeping as needed 
  • Support other team members and leadership as necessary

Preferred

  • Office management or administrative experience.
  • Youth sports or recreation experience.
  • Experience with WellnessLiving, Microsoft 365, Monday.com, or similar software.
  • Basic bookkeeping knowledge.
  • Marketing or social media experience.


Compensation

 

Part-Time Hybrid Position

Salary: $25,000–$30,000 annually, depending on experience

Approximately 20–25 hours per week

Flexible schedule with a combination of office and remote work
